We believe great client relationships start with transparency. Below are the policies that govern how we handle refunds, disputes, and cancellations.

Refund and Dispute Policy

GD Solutions and Co provides AI consulting, training, automation development, and related advisory services. Because our work is delivered as professional services rather than physical goods, our refund terms are structured around the stage of the engagement at the time a refund is requested.

1. Discovery Calls

Initial discovery calls and scoping conversations are provided at no cost. There is nothing to refund.

2. Audits and Fixed-Scope Engagements

For audits and other fixed-scope engagements, the following terms apply:

  • Before work begins: Clients may cancel within 7 calendar days of payment for a full refund, provided no work has commenced.
  • After work begins but before delivery: Clients may cancel and receive a prorated refund equal to the unspent portion of the engagement, less any costs already incurred (including third-party software, contractor time, or research expenses).
  • After delivery: Once the final deliverable (audit report, system documentation, or completed automation) has been delivered, the engagement is considered complete and is non-refundable.

3. Monthly Retainers and Subscriptions

Monthly retainers and subscription-based services may be cancelled at any time. Clients will not be charged for any future billing periods after cancellation. The current month's fee is non-refundable, but service will continue through the end of that billing period.

4. Custom Development Projects

Custom AI system builds and multi-phase development projects are governed by the Statement of Work signed at the start of the engagement. Refunds for these projects are calculated based on milestones completed and accepted at the time of cancellation. Any milestones in progress will be billed at a prorated rate based on hours worked.

5. Disputes

If you are not satisfied with any service or deliverable, please contact us first at info@gd-solutions-us.com or by phone at 202-308-9744 within 14 calendar days of delivery. We will work in good faith to resolve any concerns through revisions, additional consultation, or a partial refund where appropriate.

Should a resolution not be reached, disputes may be submitted in writing for formal review. We respond to all written dispute notices within 7 business days. Unresolved disputes will be governed by the laws of the Commonwealth of Pennsylvania.

For payment-related disputes processed through Stripe, clients are encouraged to contact us before initiating a chargeback so we have the opportunity to resolve the issue directly.

Cancellation Policy

We understand that business needs change. The following terms outline how cancellations are handled across our different service types.

1. How to Cancel

All cancellation requests must be submitted in writing by email to info@gd-solutions-us.com. Please include your business name, the service or engagement you wish to cancel, and the effective cancellation date. Verbal cancellations are not binding.

2. Discovery Calls and Consultations

Scheduled discovery calls and consultations may be rescheduled or cancelled at no cost with at least 24 hours' notice. Cancellations made with less than 24 hours' notice may, at our discretion, be subject to a $150 rescheduling fee for any future bookings.

3. Audits and Fixed-Scope Projects

Audits and other fixed-scope projects may be cancelled at any time. Refund eligibility follows the terms outlined in our Refund and Dispute Policy above. Cancellation takes effect on the date the written notice is received.

4. Monthly Retainers

  • Monthly retainers may be cancelled at any time with no penalty.
  • Cancellation takes effect at the end of the current billing month.
  • No further charges will be processed after the cancellation date.
  • All deliverables, system access credentials, and documentation produced during the retainer will be transferred to the client within 10 business days of the cancellation date.

5. Multi-Month Engagements

Engagements with a defined term (for example, a 3-month or 6-month build) may be cancelled early with 30 days' written notice. The client remains responsible for all milestones invoiced or delivered up to the cancellation date, plus any third-party costs already committed (software licenses, contractor fees, etc.).

6. Cancellations Initiated by GD Solutions and Co

We reserve the right to terminate an engagement if a client materially breaches our agreement, fails to provide payment on agreed terms, or engages in conduct that prevents us from delivering our services. In such cases, the client will receive a prorated refund for any unearned fees.

7. Promotional Offers

Any promotional discounts or introductory offers are subject to the specific terms published with the offer. Cancelling within a promotional period may forfeit the discount and require payment of the standard rate for services already delivered.
